Job Title: Pastoral Associate of Liturgy
Full time position
Hour per week: 32
Days in: Monday, Tuesday, Thursday, Friday along with some weekends and evenings
Days off: Wednesday, Sunday, and some Saturdays
Reports to: Pastor

Position Overview:
The Pastoral Associate of Liturgy is responsible for facilitating weddings and funerals at Holy Apostles Catholic Church. This position requires sensitivity and discretion, strong organizational skills, the ability to prioritize tasks and projects, an attention to detail, and a warm and welcoming demeanor.

The Pastoral Associate of Liturgy is also responsible for providing pastoral care and spiritual support to anyone in need, as well as offer support to the clergy and staff.

The Pastoral Associate of Liturgy works closely with the clergy, all staff, volunteers, parishioners, visitors, and families during emotional life circumstances.

This position additionally schedules and coordinates events from outside sources who wish to use the Holy Apostles facility.

Degree in Catholic Theology recommended but not required.

Key Duties and Responsibilities:

  • Serve as a first point of contact for couples wishing to be married, convalidate, or renew their vows at Holy Apostles
    • Prepare wedding contracts and collect payments
    • Coordinate service and reception arrangements with clergy and families
    • Assist couples with Pre-Cana/Marriage Prep/FOCCUS reports
    • Prepare families for the Liturgy
    • Train Readers of the Word for the Liturgy
    • Schedule all services, including rehearsals and receptions on to the parish facility calendar and on the priest calendar
    • Notify Record Keeper to update Sacramental Record book of Sacraments and Rites
    • Assist at rehearsal
  • Serve as a first point of contact for anyone seeking Funeral and Committal services
    • Coordinate with clergy, funeral home, and musicians
    • Coordinate service and reception arrangements with clergy and families
    • Prepare families for the Liturgy
    • Train Readers of the Word for the Liturgy
    • Process all related paperwork
    • Scheduling all services and receptions to the parish facility calendar and the priest calendar
    • Notify Record Keeper to update Sacramental Record book of Sacraments and Rites
    • Coordinate receptions, if needed
  • Coordinate and facilitate semi-annual Marriage Prep weekend
    • Keep an on-going list of who needs Marriage Preparation
    • Coordinate Team of volunteers to speak at Marriage Prep weekend
    • Schedule dates and reserve the facility
    • Order materials, food, and decorations
    • Collect fees
    • Remain onsite during entire Marriage Prep weekend
  • Set up outside events at the parish to ensure all paperwork, fees, facility calendar scheduling, are in place.
    • May also require finding volunteers for setting up and tearing down of chairs and space, if needed
    • Be available for open and lock-up, if needed
  • Work closely with St. Ignatius School on Liturgies for school Masses
    • Help with semi-annual School penitential services
  • Help to coordinate Diocesan Communal Penitential Services during Lent and Advent
  • Arts and Environment:
    • Manages the art and environment in the church as well as the outdoor potted plants
    • Coordinate with plant company for Easter Lilies and Christmas Poinsettia orders
    • Takes care of all decorations in the church:
      • seasonal banners, Christmas trees, Creche, Altar of Repose, Flowers, etc.
    • Clergy Support Responsibilities (Monthly and As Needed)
      • Set up and coordinate Communal Penitential Services and meals for visiting priests.
      • Set up and coordinate West Central Deanery meetings/dinner.
      • Set up monthly Holy Apostles Clergy meetings and twice-yearly dinners.
      • Schedule, create agenda, and attend weekly staff meetings
      • Provide support to the development functions of the church
      • Other duties as assigned by the pastor
    • Additional duties
      • Organize staff potlucks
      • Coordinate staff Christmas party
      • Manage staff schedule of Lock-up nights

Job Title: Coordinator of Youth Ministry & Confirmation
Reports to: Director of Youth Ministry & Confirmation

Position Overview:

The Coordinator of Youth Ministry at Holy Apostles assists the Director of Youth Ministry in overseeing and facilitating youth ministry programming for students in grades 6–12 including: middle school youth ministry programming, high school youth ministry programming, and Confirmation preparation. The goals of youth ministry programs at Holy Apostles are to help students develop in their understanding and experience of their Catholic faith and the teachings of Jesus, grow in authentic faith community with peers and mentors, and become disciples of Christ who are sent out into the world to care for others and share the Good News.

Job Duties and Responsibilities:

  • Work with the Director of Youth Ministry to maintain the overall vision, mission, and goals of youth ministry at Holy Apostles.
  • Work with the Director of Youth Ministry to develop and compile relevant, engaging, and meaningful content for weekly youth ministry gatherings, including overall thematic content, teachings and messages, small group discussion questions, games and activities, and more.
  • Manage parent communication for youth ministry weekly meetings, upcoming events, registrations, and other opportunities.
  • Work with the Director of Youth Ministry to prepare high school students to receive the Sacrament of Confirmation through a comprehensive program and retreat, as designated by the Diocese of Boise.
  • Facilitate weekly meetings of middle and high school youth ministry and Confirmation preparation, retreats, camps, rallies, mission trips, and any other youth ministry events.
  • Work with the Director of Youth Ministry to coordinate and develop a team of volunteer leaders to help facilitate weekly youth ministry meetings for middle and high school students.
  • Maintain a Safe Environment Program for all student participants in youth ministry programming and events. Prepare reports related to yearly Circle of Grace and volunteer audits. Report any concerns to the Director of Youth Ministry, Pastor, or Diocese of Boise's Office of Child, Youth, and Young Adult Protection in a timely manner.
  • Work collaboratively with staff members at Holy Apostles to complete parish-wide initiatives.
  • Track budget expenditures and revenues for all youth ministry programming, events, fundraising, etc.
  • Help with administrative tasks such as (but not limited to): entering Confirmation records, youth ministry registration, retreat and event registration, etc.
  • Other duties as assigned by the Directory of Youth Ministry.

Skills and Qualifications:

  • Education in theology or pastoral ministry (Certification or B.A.), or equivalent years of experience.
  • Ability to work independently.
  • Ability to work collaboratively.
  • Ability to effectively communicate with the Director of Youth Ministry, Pastor, Holy Apostles staff and clergy, parents, students, and volunteer leaders.
  • Must be detail-oriented and oversee the day-to-day operations of youth ministry at Holy Apostles.
  • Development skills including: thinking creatively, problem-solving skills, crowd management, etc.
  • Familiarity or proficiency with Microsoft Office software, Google Productivity software, Flocknote, etc.

Requirements:

  • Be a practicing Catholic in good standing with a registered home parish.
  • Availability to work during the week and on weekends.
  • Must have at least two years of experience working or volunteering within a Catholic youth ministry program.
  • Must be Safe Environment trained and clear a background check within the Diocese of Boise as per the requirements of the Office of Child, Youth, and Adult Protection.
